Everything Termini can do for your business
A complete overview of the online booking platform — from your first sign-up to an AI assistant that keeps your schedule tidy on its own. Read it like a book, or save it as a PDF for later.

What Termini is and who it's for
Termini is a Slovenian online booking platform, built for hairdressers, beauticians, dentists, massage therapists, physiotherapists, repair shops, and anyone else whose work runs on scheduled appointments.
Instead of phone calls back and forth and sticky notes at the front desk, your clients book their own appointment — anytime, on your own page, e.g. termini.svetilkar.com/your-salon. You see the calendar in real time, confirm bookings, and can optionally switch on an AI assistant that handles part of that work for you.
The platform is built around three roles: the business owner (you — with a full dashboard of tools), the client (books an appointment, optionally without creating an account), and the AI assistant (entirely optional — acts on your behalf, following rules you set yourself).

Getting started in five minutes
Signing up doesn't require a credit card, a contract, or waiting for approval — your profile is live immediately.
- On prijava.html, enter your email address.
- Sign in with a password (if you don't have one yet, the system first emails you a one-time code, which you use to set your own password — after that you never need a code again).
- You land on your dashboard, where in a few steps you fill in your profile, add your services, and set your opening hours.
- From that moment on, your public page is live for anyone who finds it or follows your link.
🔁 Same email, two roles. If you also book with another business as a client yourself, you can use the same account — in settings you simply switch between the "business panel" and the "client panel", with no need to sign in again.

Your profile — your business card
The Profile tab on your dashboard is where you edit all the basic information about your business.
- Logo — recommended size 200×200 px, JPG/PNG/WebP.
- Business name or your first and last name, phone, contact email, address.
- Business description — a short intro text (up to 500 characters) that visitors see.
- Opening hours — set per day; each day can be opened, closed, and given its own time range. These hours are the foundation for everything that follows: the availability calendar, the AI assistant's decisions, and the very structure of your working day.
Every change is saved as soon as you click "Save profile" and is visible to clients immediately.
👀 What does a client actually see from this? Your name, logo, contact details, address and opening hours appear at the top of your public page. The "Profile" tab itself is only visible to you — a client instead lands on two separate tabs on that same page: Presentation (open by default, see chapter 10) and Booking, which they switch between themselves.
Every service a client can book has its own name, duration and — optionally — a price.
- Name and duration (in minutes) are the only required fields — duration is used to automatically calculate how much space the booking takes up in your calendar.
- Price is optional: it can be fixed (e.g. €25) or a range (€25–40), with an "approximate" label if the actual price may vary.
- You decide whether guests see duration and price at all next to a service — two switches at the top of the tab turn this on or off for the whole page.
- Sorting of the service list: default, alphabetical, by duration, by price, or random — whatever suits your offering best.
A client can select several services at once when booking — the system automatically adds up their combined duration and books a single, appropriately long appointment.

Schedule, breaks and closed days
The Schedule tab defines exactly when and how guests can book an appointment with you at all.
Booking settings
- Advance booking (hours) — how many hours before an appointment a guest may still book (e.g. 24 hours).
- Time slot step (min) — how far apart available slots are laid out (e.g. every 30 minutes: 9:00, 9:30, 10:00 …).
- Allowed delay (min) — how long past the agreed time you hold the slot before you can give it to another guest. This number stays entirely yours — it's never shown to the client, so it can't be knowingly relied upon.
Breaks and closed dates
Breaks (e.g. lunch) apply every day you're open, and no bookings are offered during that time. Closed dates (vacation, sick leave, a one-off absence) are set as a date range, with an optional reason that's for your own reference only.
Blocking individual time slots
For exceptions that breaks and closed days don't cover — say, a single hour you want to keep free — you pick a day and click that exact slot to block it or free it up again.

Bookings — confirming and messaging
Every booking a client submits lands in the Bookings tab with a "new" status, until you (or the AI assistant) act on it.
- Each card shows the guest's first and last name, chosen services, date, time and contact details (phone, email) — one click to call or email them.
- A guest can add a short description ("what exactly they need") when booking, which you see expanded under the details.
- When confirming, you can add a short message to the guest (up to 150 words) — e.g. "please arrive 5 minutes early, parking is behind the building".
- One click on "✓ Confirm booking" or "✕ Reject" — either way the client gets an instant email notification (unless they've turned that type of notification off in their own settings).
- A confirmed booking automatically blocks that time slot for every other guest — no risk of a double booking.
A filter above the list lets you show only upcoming bookings, only new ones, or absolutely everything (including past and rejected bookings).

Clients — remembering every guest
The Clients tab is your built-in mini-CRM — no manual entry required, since it fills itself in with every new booking.
- Every client who has ever booked with you gets their own card with contact details and their number of past visits.
- You can also add clients manually (name, phone, required email) — useful for regulars who book by phone.
- Every card has a free-text "Notes / specifics" field — e.g. "tends to be late, call 15 min ahead" or "talks a lot, work takes ~15% longer". These aren't rigid form fields but free text — and these exact notes can later be read by your AI assistant too.
- Search by name/phone and sorting (default, alphabetical, by last-visit date) help you find the right person in a second.
- For a tidier view, client cards are collapsed by default — only the name and phone number show; clicking expands the full card.

AI assistant — a schedule that manages itself
Termini's most advanced feature is entirely optional — switched off by default, until you turn it on yourself in the "AI assistant" tab.
Once enabled, every couple of hours (every 2 hours between 8am–8pm on weekdays, every 4 hours on weekends) the assistant reviews your pending bookings and decides, for each one, whether it can handle it on its own:
- Checks whether the slot is actually free — based on your opening hours, breaks, and other bookings.
- Asks a large language model (AI) whether there's a reason it should NOT confirm the booking — based on your settings (opening hours, services, schedule, client notes, and your own free-text instructions, e.g. "don't confirm bookings on Friday afternoons").
- If everything checks out, it confirms the booking and notifies the client — you get a "🤖 AI" badge on the card so you can see what was done automatically.
- If the slot is taken, it offers the guest up to two alternative times by email — the guest picks one with a single click, no sign-in required.
- If no suitable slot is found after three attempts, the assistant notifies YOU to call the client personally — it never gets stuck in an endless loop.
When the assistant never decides on its own
Bookings made too close to the appointment time (you set the threshold yourself, 48 hours by default) are always left to you — these are exactly the cases where quick human judgment matters more than automation. Whenever there's doubt or a parsing error in the AI's response, the safe default is "do NOT confirm" — the assistant never "guesses" at your expense.
Gap-free scheduling
An additional, equally optional setting: once enabled, for a day with no confirmed booking yet, the assistant may suggest a different time to the client than the one they picked — so that bookings for that day connect with no empty gaps between them. Once a day gets its first confirmed booking, every following booking is placed right after the last one. You can also optionally set a starting time (e.g. "every day starts at 9:00 am") — the assistant then treats it as if the first booking of the day were already confirmed, and builds the rest around it. A suggested different time is never confirmed automatically — the client has to accept it by clicking in the email.
💡 Why turn this on at all? Every empty slot between two bookings is lost time for you. Gap-free scheduling keeps your working days tightly packed — without you having to manually rearrange clients yourself.

Work plan — your day at a glance
The Work plan tab shows every confirmed booking for a chosen day, sorted by time — the same overview you'd know from a paper list at the front desk, just digital.
For each appointment you can add a short private note (up to 150 words) — not visible to the client, meant purely for your own memory (e.g. "bring extra material", "ask for a referral"). Notes are automatically cleared after a few months so the list doesn't pile up forever.

Presentation and gallery
The Presentation tab is your mini portfolio within your own page — separate from the booking calendar.
- Upload up to 5 photos (JPG, PNG, WebP) — of your space, your work, your products.
- Write a message to clients — opening information, tips, special offers, anything you want guests to know before they visit.
Every visitor to your public page sees this tab, not just those who go on to book — it's often exactly what convinces a new guest to submit a booking in the first place.
🚪 This is your "front door". Whenever anyone opens your public page, this is exactly where they land — Presentation is open by default, and the "Booking" tab is just one click away. The photos and message here aren't decoration; they're the first impression every visitor gets of you.
Your page has a unique address (e.g. termini.svetilkar.com/your-salon) — short, memorable, and ready for a business card or a shop window.
- A share button that posts directly to Viber, WhatsApp, Facebook and Instagram, or copies the link to your clipboard.
- A QR code for your page — print it and put it on your door or front desk; a guest scans it and lands straight on your booking page.

Language, theme and settings
Termini is available in Slovenian and English — the language is detected automatically from a visitor's browser, and can also be switched manually at any time.
Colour theme: six themes to choose from (light, green, dark, blue, orange, anthracite) — synced across all your devices, so your dashboard always looks exactly the way you want it.
A good experience for clients means less work for you — fewer calls, fewer questions, fewer no-shows.
- Booking without an account — a guest picks a service, date and time, enters their details, and submits. No passwords, no accounts.
- "My booking" — after submitting, a guest can look up the status of their booking at any time using just their phone number or email, no sign-in needed.
- Client panel (for those who want more) — signing in with a password (or a one-time code, if they don't have one yet) unlocks a view of all upcoming and past bookings, a list of favourite businesses, and email notification settings.
- For a pending booking, the client also sees whether it will be handled by the AI assistant (and roughly when) or requires manual confirmation — they always know where things stand.
- For a past appointment, the client can mark for themselves whether it was completed or missed — a plain fact for both sides, with no accusatory tone.
